Position Overview

We are seeking a dependable, organized, and personable Administrative Assistant to serve as the face of our Center Harbor office. This individual will manage front desk operations, oversee daily administrative functions, and provide essential support to our clinical and executive teams.

The ideal candidate is organized, proactive, and takes ownership of their work while supporting a collaborative team environment. This role is ideal for someone who enjoys being the operational backbone of a busy office and is interested in growing professionally within a stable and expanding healthcare organization.

Key Responsibilities

Front Office & Reception

  • Manage incoming phone lines with professionalism and warmth
  • Greet visitors and maintain a welcoming, organized office environment
  • Coordinate mail, deliveries, and general office logistics

Administrative Operations

  • Manage daily office functions including document preparation, filing, and data entry
  • Assist with scheduling, compliance tracking, and maintaining patient records
  • Monitor office and clinical supply inventory and coordinate with vendors

Team Support

  • Provide administrative support to clinicians and executive leadership
  • Serve as a central communication resource for internal coordination
  • Assist with special projects and operational initiatives as needed

Qualifications

  • 2+ years of administrative or office support experience (healthcare preferred)
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication
  • Proficiency in Microsoft Office and general office systems
  • Professional demeanor and strong customer-service orientation
