We’re looking for a detail-oriented, tech-savvy Event Marketing & Executive Coordinator who can keep complex workflows running smoothly across virtual and in-person events. The Benefits • Work Set-up: Permanent Work From Home • Bonuses: • Attendance Bonus of $ 25 for every monthly perfect attendance • Performance Bonus • Anniversary Bonus of PHP 5,000 for your 1st year in service and PHP 10,000 for 2 to 3 years in service • Referral Bonus of $ 300 for every successful referral • Holiday Paid Time Off (PTO) for 7 days in a year • Paid Time Offs (PTO) for 6 days in a year • Healthcare Plan • Parental Leave CORE TASKS: Event Marketing Operations • Support the planning and execution of a high-volume global event program (200+ annual events) across Americas, EMEA, and APAC in collaboration with existing Event Marketing Managers • Research and book hotel accommodations for staff attending events • Register Canary staff for conferences, trade shows, and sponsored events • Track and reconcile credit card charges associated with event expenses • Partner with Finance to ensure event-related invoices are submitted, tracked, and paid in a timely manner • Prepare and maintain event planning documents, frameworks, and repeatable playbooks • Ensure staff schedules are properly blocked for events, travel, and on-site attendance • Track all shipments (booth materials, swag, signage, equipment) to confirm timely arrival at event locations • Work with Finance post-event to gather final expense totals for each event • Update event budgets and ensure final event costs are accurately reflected in the master event tracking document • Attend event planning meetings and take detailed notes, documenting decisions, next steps, and owners • Maintain accurate, up-to-date event documentation, trackers, and internal records Executive Assistant Support • Provide light executive support to the VP of Marketing and two additional marketing leaders • Assist with scheduling meetings when looped into email threads • Coordinate calendars across multiple stakeholders as needed • Support ad hoc administrative requests related to marketing leadership (no inbox monitoring required) MUST-HAVE: • Experience supporting event marketing, field marketing, or operational coordination in a fast-paced environment • Familiarity with booking travel accommodations (hotels, registrations) • Experience reconciling expenses, invoices, or credit card charges • Strong attention to detail, particularly for budgets, schedules, and tracking documents • Ability to communicate clearly and professionally via email and meetings • Comfort working with Zoom and arenaflex Meet • Ability to follow established processes and collaborate closely with cross-functional teams (Marketing, Finance, Operations) • Strong organizational skills and ability to manage multiple concurrent tasks and deadlines • Comfortable operating in a supportive, execution-focused role within a larger team structure NICE-TO-HAVE: • Familiarity with event planning at scale (conferences, trade shows, field events) • Prior experience working closely with Finance teams on budgeting and invoicing • Experience maintaining playbooks, SOPs, or internal documentation • Exposure to global or regional event coordination across time zones • Previous executive assistant or administrative support experience If you’re ready to jump in, support great events, and grow with a dynamic team—apply now!
