Job Description

We are looking for a detail-oriented, well-organized, proactive, and creative Event Specialist to join our Events team at Wise. In this role, you will collaborate closely with the Events Lead to support and execute a variety of global internal events at our Hyderabad office as well as some of the external venues, and occasionally assist with events at other locations across Wise. The ideal candidate will excel both in team settings and when working independently.

Your mission: 

  • Support Events Lead while planning and executing our internal company events
  • Follow detailed project plans, create sub-plans if needed, define project tasks, risks, timelines and resource requirements as needed; including pre-event, on-site, and post-event activities, to ensure everything runs smoothly and according to plan.
  • Help mitigate risks across the various events and locations, partnering cross team to identify resolutions to risks and issues as they arise.
  • Support running logistical aspects of the events such as live conference, webinars, video conferences, live streams with the internal teams and external partners. In addition, oversee the travel, transportation and accommodation guidance.
  • Help source venues in different locations, set the criteria and standards for internal events.
  • Make sure the event vendors' budget for specific events/areas are under control, negotiate prices/better deals where possible.
  • Help source and manage potential new partners and identify new preferred partners and cost- efficient opportunities.
  • Support new vendor onboarding if required and ensure partner relationships are well taken care of.
  • Support each project and its stakeholders to meet event expectations and production.
  • Conduct post-event evaluations to gather feedback, analyze event data and success, identify areas for improvement.
     

This role will give you the opportunity to:

  • Own and run different event parts or independent events - The events in your location will be of your main focus from planning to delivery, but there will be plenty of opportunities to lean in and work on different event parts in our Global events projects.
  • Collaborate with internal and external stakeholders around the world - You would have the opportunity to coordinate projects and events with multiple stakeholders, for example your local partners, vendors, internal teams like AV, Design, Legal, DEI, Workplace and many others.
  • Use your creativity and mitigate risks- You would most likely face situations in which you will have to come up with a quick fix or a solution to an unforeseeable circumstance at the event or in the planning phase. To avoid these situations, you would need to be able to map out potential risks and how to best mitigate them.
  • Own and manage event budgets - While your event will be allocated a certain budget, your role  would be to make sure to stay within it, negotiate the best deals where possible and keep track of all expenses and invoices.
  • Growing skills with data - You would have the opportunity  to gather and present event related data and reports for a chosen audience. Data and understanding plays an important part when planning and setting goals for the future events.
