Role: Executive Assistant to CEO
Priority Location: South Africa and then global (recommended based on talent pool and remote adaptability)
Working Hours: Monday–Friday, 9 AM–6 PM EST (flexible to align with CEO's schedule)
Salary Range: $1,500–$2,000 per month (final offer depends on candidate experience, interview results, and skills)

About the Role:
We are seeking a proactive and detail-oriented Executive Assistant to support our lead Public Adjuster. The ideal candidate will help streamline operations, manage communications, and keep the CEO organized in a fast-paced environment. This role provides an opportunity to directly impact company efficiency, client satisfaction, and operational excellence. The successful candidate will thrive in a remote, high-responsibility role with autonomy and scope to influence workflow improvements.

Key Responsibilities:

  • Serve as a secondary point of contact for clients via email, ensuring timely and professional communication.
     
  • Coordinate and schedule inspections with vendors, including industrial hygienists, engineers, and contractors.
     
  • Manage CEO's calendar, appointments, and claim-related deadlines.
     
  • Track and maintain company and individual state public adjuster licenses and renewals.
     
  • Review and organize property insurance policies, estimates, and correspondence.
     
  • Assist with claim documentation, uploading reports, and maintaining organized digital files.
     
  • Support general administrative and operational needs of the company.
     
  • Qualifications:

    Required:

  • Proven experience as an executive assistant or in a similar administrative role (3+ years preferred).
     
  • Excellent written and verbal communication skills.
     
  • Strong organizational skills and attention to detail.
     
  • Proficiency with Microsoft Office, Google Workspace, and CRM platforms (e.g., Pipedrive).
     
  • Ability to handle confidential information with discretion.
     
  • Self-motivated and able to manage multiple priorities with minimal supervision.

  • Experience in the insurance, claims, or property restoration industry.
     
  • Familiarity with project management tools or workflows.
