Role Description

Mulinga Coffee Estate is seeking a diligent and well-organised Finance & Administration Officer to support day-to-day finance, administrative, and human resource operations. The role is critical in ensuring accurate records, smooth payroll and HR processes, and effective office administration.

Key Responsibilities

Finance & Accounting Support


• Capture and maintain accurate financial records and data entries.


• Process invoices, payment vouchers, receipts, and petty cash.


• Assist with bank reconciliations and cash records.


• Support payroll preparation and statutory deductions (PAYE, NSSF, SHA).

HR Operations Support


• Maintain employee records, personnel files, and contracts.


• Track staff attendance, leave, and overtime records.


• Support recruitment administration (interview scheduling, documentation).


• Assist with onboarding and staff induction documentation.


• Support disciplinary and performance management documentation.

Administration & Office Support


• Maintain organised filing systems (physical and electronic).


• Handle correspondence, emails, and internal communication.


• Support procurement documentation and supplier records.


• Assist with office logistics, meetings, and staff communications

Qualifications & Experience


• Certificate or Diploma in Accounting, Finance, Human Resource Management, Business Administration, or related field.


• 1–3 years' experience in finance, administration, or HR support roles.


• Basic understanding of payroll and Kenyan labour laws is an advantage.


• Proficiency in MS Excel, Word, and basic HR or accounting systems.
