Our
Lead Billing Specialist & Executive Operations Assistant will ensure that the clinical vision of the practice is executed smoothly.


  • Key Responsibilities
    • Coordinate and complete the day-to-day billing and other delegated roles of admin staff.
    • Operational Oversight: Ensure all daily biller services and "back sided" job related tasks running smoothly.
    • Quality and Compliance: Monitor patient care quality and ensure the practice adheres to all necessary medical protocols, ethical standards, and regulatory requirements, HIPAA.
    • Liaison: Act as the primary communication link between the clinical team, administration, & external parties.

  • MUST PROVIDE A QUIET ENVIRONMENT with NO BACKGROUND NOISE DUE TO HIPPA/PROFESSIONAL SETTING FREE FROM CHILDREN OR OTHER PEOPLE AND PETS.

  • Qualifications:
  • 2-3 years required experience
  • Strong interpersonal skills

Job Opportunity: Lead Billing Specialist & Executive Operations Assistant

Role Type:

Full-Time, Virtual Office (Permanent Camera Presence Required) Hours: M-F, 9:00 AM – 6:00 PM (Plus 1 weekend check-in & urgent coverage) Volume: Managing ~50 claims daily / 1,000+ monthly (Scalable with company growth)


The Mission


As a "Number 2" to our Clinical Care Coordinator and a direct assistant to the Executive team (CEO/COO), you are the operational heartbeat of our clinic.

You will manage a high-volume billing cycle while seamlessly pivoting to clinical support, patient intake, and high-level administrative triage. We are a tight-knit team supporting a large remote provider network; we need a "black belt" in multitasking who thrives when wearing multiple hats.


Key Responsibilities

1. High-Volume Revenue Cycle Management
  • Daily Claims: Accurately bill out ~50 claims daily, ensuring all documentation matches clinical notes.
  • The "Clean Claim" Expert: Take full ownership of the Reject/Scrub/Denial pipeline. You don't just see a denial; you investigate, correct, and resubmit immediately.
  • Invoicing: Daily payment collection and transparent financial tracking.
2. VA & Inter-Clinic Liaison
  • Referral Coordination: Serve as the primary lead for VA/Tricare/Triwest primary care client referrals.
  • Clinical Liaison: Act as the professional point of contact for external clinics, managing complex Records Releasesand referral tracking with precision.
3. Clinical Coordinator "Right Hand"
  • Seamless Coverage: Provide 100% coverage for the Clinical Care Coordinator during meal rests, vacations, or sick days.
  • Rapid Response: Ability to instantly pause billing tasks to answer high-volume phones/emails. You must match the patient’s energy, provide empathy, and build New Client Charts without hesitation.
  • System Navigation: Expertly navigate multiple Electronic Health Records (EHR) and digital filing systems simultaneously.
4. Executive Support & Team Culture
  • Virtual Presence: Maintain active camera presence in our virtual office, remaining "interruptible" and accessible to the CEO, COO, and Providers.
  • Flexibility: As a smaller ops team supporting a large clinical staff, you must be willing to "rise above" your job description to meet shifting daily priorities.

Requirements & Qualifications

  • Education: Business or Accounting degree preferred.
  • Experience: Heavy medical billing experience is mandatory. You must be comfortable scaling from 1,000 to 2,000+ claims as we grow.
  • Technical Mastery: Advanced skills in Google Workspace and Excel. Ability to manage "digital clutter/excessive files" across various communication platforms.
  • The "Switch": Proven ability to multitask between deep-focus billing and high-empathy patient communication without skipping vital steps or losing organizational flow.
  • Reliability: You are the person the team leans on; consistency and punctuality are non-negotiable.
