POSITION OVERVIEW
The Gift Processing & Database Coordinator supports Philanthropy by processing donations, sending acknowledgments, and keeping the donor database accurate and up to date, all while following regulatory and organizational policies and guidelines.
This role upholds the integrity of donor database, supports donor stewardship, and contributes to the overall success of fundraising efforts. The Gift Processing & Database Coordinator also involves professional communication with donors and internal teams to ensure a positive and welcoming giving experience.

This role is hybrid, with responsibilities performed both remotely and on-site as needed. (1 day per week in office)

ESSENTIAL DUTIES & RESPONSIBILITIES
50% | Gift Processing & Compliance

  • Record donations, pledges, and adjustments into the donor CRM in accordance with established procedures and timelines.
  • Generate and distribute donor acknowledgment letters and tax receipts in compliance with organizational standards and regulatory requirements.
  • Administer gift summaries for the monthly donor program.
  • Partner with Finance to reconcile gifts and resolve discrepancies to ensure accurate financial and donor records
30% | Database Maintenance
  • Maintain donor records to ensure data is complete, current, and consistent with data standards.
  • Support routine data audits by identifying, correcting, and updating records as needed.
  • Apply data hygiene practices for donor communications and reporting accuracy.
10% | Reporting & Data Support
  • Run standard, pre-built reports and exports for donor communications, fundraising operations, and financial tracking.
  • Ensure lists and reports are delivered accurately and within requested timelines.
10% | Philanthropy Operations Support
  • Provide administrative and operational support during peak fundraising periods.
  • Monitor and manage the general philanthropy inbox, responding to routine inquiries or routing messages to appropriate staff.
  • Support smooth day-to-day operations of the Philanthropy team as needed.
KNOWLEDGE, SKILLS, AND EXPERIENCE
  • Minimum of one year of experience in high-volume data processing or administrative operations.
  • Minimum of one year of experience running reports or pulling data from a CRM system, Salesforce strongly preferred.
  • Demonstrated attention to detail with a high level of accuracy and follow-through.
  • Demonstrated written and verbal communication skills with customer service–oriented approach.
  • Ability to manage priorities, meet deadlines, and work within established processes.
  • Proactive problem-solving skills and capability to improve productivity within defined workflows.
  • Ability to adhere to ethical fundraising practices in accordance with the Association of Fundraising Professionals (AFP) Code of Ethics.
  • May require up to 10% travel annually.
SUPERVISORY RESPONSIBILITIES
This position reports to the Manager, Philanthropy and does not have any direct reports.
