Operations Associate

Substack is building a new economic engine for culture, giving the brightest, most interesting, and most creative people on the internet the power of their own publishing platform. We’re looking for an Operations Associate to support the day‑to‑day execution of business, people, and finance operations at Substack. This role is ideal for someone who is highly organized, detail‑oriented, and excited to learn across multiple operational functions. You’ll work closely with the Head of Operations and cross‑functional partners to keep core processes running smoothly and help scale our internal systems as the company grows.

Core responsibilities:

  • Support day-to-day business, people, and finance operations, ensuring core internal processes run smoothly.

  • Assist procurement and legal operations workflows, including contract intake, prioritization, tracking prior agreements, and supporting contracts through execution.

  • Maintain and audit employee data across HRIS, payroll, and benefits systems for onboarding and offboarding.

  • Coordinate with our PEO on payroll processing, benefits administration, compliance requests, and year-end processes, including preparing payroll inputs, managing contractor and EOR records, and supporting reimbursements.

  • Support operations projects, such as performance review cycles, compensation updates, and business compliance projects.

  • Provide light office operations support for the New York office, including vendor coordination and general workplace needs.

About You (Minimum Requirements):

  • 1–3 years of experience in operations, HR, people operations, or finance operations.

  • Experience working with PEOs (e.g., Sequoia One, Deel) and familiarity with AP, expense, and HRIS systems (e.g., Zip, Navan, HiBob) is a plus.

  • Strong attention to detail and excellent organizational skills.

  • Ability to handle sensitive and confidential information with discretion.

  • Strong preference for someone based in the New York City area who can work in our NYC hybrid office.

Substack’s compensation package includes a market-competitive salary, equity for all full-time roles, and exceptional benefits. Our cash compensation salary range for this role is $90,000-$120,000. Multiple factors, including candidate experience and expertise, determine final offer amounts and may vary from the amounts listed above.
