Payroll Administrator

This position can be based in Yarmouth, MA or Washington, DC

Staff work a hybrid schedule 2 days/week in the office

The Payroll Administrator is responsible for utilizing UKG payroll system administrating U.S. and Canada payroll operations, time and attendance systems, and ensuring accurate and timely accounting and reporting of compensation and benefits. This position also coordinates and supports payroll processing for affiliates various countries. This role works closely with Human Resources and international offices to support payroll compliance, system integrity, and employee service. The ideal candidate will manage and adhere to strict deadlines and maintain strict confidentiality, possess strong verbal and written communication skills and a high degree of proficiency with payroll systems and other technology.

Role and Responsibilities

Payroll Operations & Timekeeping

  • Administer payroll processes in accordance with local policies, ensuring accuracy in compensation, tax, and benefits withholding.
  • Process U.S. and Canada payrolls for 150+ employees and maintain payroll records in compliance with internal and external requirements.
  • Coordinate with international offices and external vendors to support payroll processing and resolve discrepancies.
  • Maintain and update payroll documentation and recommend process improvements.
  • Track and report employee paid leave balances; support HR in managing leave systems and policies.
  • Assist employees with payroll-related inquiries including deductions, accruals, and timekeeping.
  • Support the implementation and training of time and attendance tools across global teams.

Accounting, Reporting & Compliance

  • Prepare and review payroll-related general ledger entries, labor allocations and reconciliations.
  • Ensure compliance with U.S. federal and state payroll regulations and support adherence to international payroll laws.
  • Assist with audits related to 401(k) plans, workers’ compensation, and annual financial statements.
  • Provide documentation and analysis to support budgeting and financial planning processes.

Administrative Support & Projects

  • Maintain up-to-date documentation of payroll procedures and systems.
  • Generate ad hoc payroll reports and assist with special projects as needed.
  • Perform additional payroll-related analysis and support cross-functional initiatives.

Qualifications and Education Requirements

  • Minimum 3 years of payroll experience, related accounting and reconciliations.
  • Meticulous with details.
  • Ability to manage strict deadlines and set priorities.
  • Proficient in payroll systems and advanced experience with Excel and Microsoft Office Suite.
  • High level of discretion and commitment to confidentiality.
  • High level of flexibility, proactivity, and responsiveness to dynamic business needs.
  • Excellent communication and customer service skills; ability to work effectively across cultures.

Hiring range is $29.06/hour - $35.00/hour
