About the Role

As Personal Assistant to the General Manager, you will play a pivotal role in supporting the General Manager during the exciting pre‑opening phase and beyond. Acting as a trusted partner, you will ensure seamless day‑to‑day operations of the GM’s office while maintaining the highest standards of confidentiality, professionalism, and efficiency.

 

This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a fast‑paced luxury hospitality environment.

 

Key Responsibilities

Executive Support

Provide comprehensive administrative and executive support to the General Manager

Proactively manage the GM’s calendar, travel arrangements, meetings, and appointments

Coordinate internal and external meetings, prepare agendas, presentations, and briefing materials

Draft, review, and manage correspondence, reports, and confidential documents

Act as a gatekeeper and point of contact between the GM and key internal and external stakeholders

 

PreOpening & Operations Support

Support pre‑opening activities including documentation, coordination with corporate offices, and project timelines

Track action items, follow up with department heads, and ensure timely completion of assigned tasks

Assist in preparing executive communications, schedules, and reports for ownership, corporate, and leadership meetings

Maintain organized filing systems (digital and physical) in line with Mandarin Oriental standards

 

Communication & Liaison

Liaise professionally with senior leaders, owners’ representatives, vendors, and external partners

Coordinate VIP arrangements, high‑level visits, and special engagements involving the GM

Ensure all communications reflect the Mandarin Oriental brand, tone, and values

 

Confidentiality & Professionalism

Handle sensitive and confidential information with discretion and integrity at all times

Uphold the highest standards of professionalism and ethical conduct

 

What We’re Looking For

Bachelor’s degree in Business Administration, Hospitality Management, or related field preferred

Minimum 3–5 years’ experience as a Personal Assistant or Executive Assistant, ideally in luxury hospitality or a corporate environment

Exceptional organizational, time‑management, and multitasking skills

Strong written and verbal communication skills in English; additional languages are an advantage

High level of discretion, confidentiality, and emotional intelligence

Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Ability to work independently, anticipate needs, and remain composed under pressure

Flexibility to work outside standard office hours when required
