DEPARTMENT OVERVIEW

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. POSITION OVERVIEW

Provides general administrative support to the Building and Custodial Division by assisting in the hiring and training of new employees. Under the supervision of the Financial Operations Supervisor, the Recruitment and Training Assistant interacts with the entire division and assists with the centralized hiring process and on-boarding process for Building and Custodial employees located across campus. This includes job announcements, screening of applications and sitting on the interview panels. Will also assist, as needed, with various personnel actions associated with the hiring process. In partnership with the RRSS Human Resources People Success & Culture staff independently reviews HR training records and follows up with staff to ensure all training requirements are up to date, may assist in the development of orientation and skill training materials and coordination of personnel logistics. Reviews and analyzes hiring and turnover and makes recommendations to improve these processes to increase employee retention. Prepares correspondence, forms/paperwork for signature/approval. Utilizes a variety of computer applications to include data base management, word processing and spreadsheet software. Provides general back-up administration to the Administration team as needed. Maintains confidentiality of personnel and information.

QUALIFICATIONS

  • Proven experience to effectively implement a centralized hiring process with knowledge of recruitment strategies and employment law.

  • Proven skill to organize and arrange interviews, meetings and plan events. Including arranging logistics such as room reservations, ordering audio-visual, catering, producing materials, participant registration, etc.

  • Fluent bilingual Spanish preferred. Ability to effectively communicate with Spanish speaking individuals, including reading, writing, and translating Spanish.

  • Ability to make group presentations and serve as facilitator at hiring and training events.

  • Knowledge of training techniques to provide group, on-the-job and one-on-one training to staff.

  • Ability to compile and analyze data related to hiring, retention, turnover, purchasing and budget information.

  • Experience preparing educational materials and hiring packets for use in on-boarding and training.

  • Proficient ability to use Microsoft office suite including word, database, excel, outlook e-mail and desktop publishing software.

  • Proven interpersonal and communication skills, both oral and written, including knowledge of correct English grammar, spelling, punctuation and usage.

  • Excellent customer service skills with the ability to exercise tact, mature judgment, confidentiality, diplomacy and flexibility to promote positive working relationships and job effectiveness.

  • Strong organizational and problem-solving skills with the ability to work independently, prioritize and coordinate workload to meet established deadlines.

  • Demonstrated ability to effectively interpret and follow directions.

  • Demonstrated ability to work effectively with frequent interruptions, changing priorities and conflicting deadlines.

  • Skill and ability to analyze, plan, develop, coordinate and implement office systems to ensure efficient operation.

  • Skill to independently organize a continuous flow of work in a timely manner while meeting deadlines and with close attention to detail.

  • Strong leadership skills with ability to plan, organize and prioritize both long term and day to day operations.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
