JOB SUMMARY We’re looking for a highly organized, detail-oriented Transaction Coordinator to oversee administrative and compliance tasks throughout the real estate transaction process. The right person will keep communication flowing smoothly between all parties, streamline operations, and help lighten the owner’s day-to-day workload. In this role, you’ll manage transactions from contract to close, coordinating with buyers, sellers, title companies, lenders, and agents to ensure every detail is handled on time and accurately. You’ll maintain well-organized records and provide vital operational support to company leadership. WHAT WE OFFER • Work for a growing company with learning and career opportunities for you • Highly competitive salary and bonus structure $55,000 – $60,000 annually (commensurate with experience) • Full-time • Fully remote ESSENTIAL DUTIES AND RESPONSIBILITIES Contract-to-Close Management • Review purchase agreements and ensure all terms, dates, and contingencies are accurately tracked. • Create and manage a detailed transaction timeline to ensure all parties meet deadlines. • Monitor progress of each file to guarantee smooth and timely closings. • Communication & Coordination • Serve as the primary point of contact for all transaction-related questions. • Communicate effectively with clients, agents, escrow/title officers, lenders, inspectors, and service providers. • Provide consistent updates to agents and clients on transaction status. Document Management & Compliance • Ensure all required documents are complete, signed, and uploaded into the compliance system. • Maintain accurate, well-organized transaction files per brokerage, state, and federal regulations. • Submit all required documentation for compliance review before closing. Listing Management • Draft and publish property listings for sale and lease • Write engaging and accurate property descriptions • Respond promptly to inquiries from prospective buyers and renters • Maintain up-to-date listing statuses in all systems and marketing materials • Coordinate and schedule property showings with clients and agents Timeline & Deadline Tracking • Track key milestones such as contingency removal dates, inspections, appraisals, and closing timelines. • Send reminders to agents and clients about upcoming deadlines and required actions. Closing Preparation • Coordinate with escrow/title companies to ensure all paperwork is completed for closing. • Confirm that funds, keys, and final documents are properly delivered. • Ensure post-closing tasks, such as file archiving, are completed accurately and promptly. Admin Duties • Email and calendar management for the owner. • Follow-arenaflex and task coordination with internal and external partners. • Handle small admin tasks (e.g., filing rental licenses, light compliance paperwork). • Assist with travel coordination and scheduling. • Proactively identify and handle issues before they escalate. • Schedule repairs at properties owned • Organize data in Real Estate Owned key CORE COMPETENCIES • Exceptional attention to detail and accuracy. • Strong problem-solving and analytical thinking skills. • Professionalism and discretion in handling confidential information. • Customer service–oriented with a positive, proactive attitude. • Reliable, respectful, and aligned with company culture and values.
