Job Description

Career.zycto is seeking a highly organized, proactive, and discreet Secretary to provide comprehensive executive support to our senior leadership team in Mandera County. This pivotal role is essential in ensuring the smooth and efficient operation of executive functions, directly contributing to our strategic objectives and overall success. As the primary point of contact for executive communications and scheduling, you will manage a wide range of administrative and logistical tasks, demonstrating exceptional professionalism and a keen eye for detail.

Your day-to-day will involve intricate calendar management, coordinating complex travel arrangements, preparing detailed reports and presentations, and handling confidential information with the utmost integrity. You will be instrumental in scheduling meetings, preparing agendas, distributing minutes, and following up on action items to ensure timely completion. Key Responsibilities

  • Provide high-level administrative support to senior executives, including managing complex calendars, scheduling appointments, and coordinating meetings.
  • Prepare, edit, and format confidential documents, presentations, reports, and correspondence.
  • Arrange and coordinate detailed travel plans, itineraries, and accommodations for executives.
  • Manage incoming and outgoing communications, including phone calls, emails, and postal mail, exercising discretion and judgment.
  • Organize and maintain filing systems, both digital and physical, ensuring information is readily accessible and secure.
  • Process expense reports, invoices, and other financial documentation accurately and efficiently.
  • Act as a liaison between executives and internal/external stakeholders, fostering effective communication.
  • Assist with special projects and initiatives as assigned by the executive team, requiring research, data compilation, and presentation development.
  • Order and maintain office supplies and manage office equipment to ensure continuous functionality.

Required Skills

  • Minimum 2 years of experience in an executive secretarial or administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
  • High degree of discretion and ability to handle confidential information with integrity.
